Documents required to receive an eCoE

To receive an Confirmation of Enrolment (CoE) required for a student visa application, you need to provide certified copies of documents.

Documents required

A certified copy is a photocopy of an original document that has been verified by an authorised person.

You must submit certified copies of the following documents for an eCoE to be issued:

  • photo page of your­­ passport
  • photo page of the passport of any family member who is attached to your Overseas Student Health Cover
  • any other outstanding documents listed on your offer letter.

If you do not have these documents, you can still accept your offer and submit the outstanding documents when available.

Document types

Outstanding documents required by RMIT may include the below.

Academic transcripts/mark sheets from all qualifications, including completed and incompleted, as per your offer letter, must be included with all applications. 

These must:

  • list all subjects undertaken and grades achieved
  • be printed on the official paper/letterhead of the institution
  • be certified copies or verified digital academic statements from accepted platforms or emailed from the issuing institution.

Evidence of meeting RMIT's English language requirements must be included with all applications with an accepted English language proficiency test score.

Graduation certificates (official awards) from all completed courses must be included with all applications, in both the original language and English, if applicable.

They must state:

  • the full title of qualification
  • date of completion
  • name of graduate printed on the official paper/letterhead of the institution.

The following documents may be required to complete your acceptance. Submitted documents will not be returned to you.
 
  • Copy of your passport
  • Copy of your current visa (if you are applying while staying in Australia) 
  • English translations of all documents
  • Resume or curriculum vitae (CV)
  • Information regarding study gaps
  • Personal statement
  • References from employers
  • Letter from scholarship provider.

Certified documents

If you have original hard copy documents, you will need to provide certified copies. A certified copy is one that has been verified to be a true copy by a witness after they have sighted the original.

To finalise your acceptance, submission of certified copies of academic document is mandatory.

The person certifying the photocopy must sight the original document and include the following details on all pages:

  • stamp or write: "This is a true copy of the document sighted by me"
  • sign, date and provide contact details including name and telephone number
  • the official stamp or seal of their organisation or their profession and organisation name.

RMIT will accept photocopies certified by anyone who is currently employed as:

  • a registered RMIT representative
  • an authorised officer from the institution that originally issued the documents
  • an Australian Justice of the Peace
  • an Australian overseas diplomatic mission or any Australian Education International
  • an Australian accountant (they must be a member of the Institute of Chartered Accountants in Australia, the Australian Society of Certified Practising Accountants, or the National Institute of Accountants, or the Association of Taxation and Management Accountants or Registered Tax Agents).
  • an Australian bank manager, but not a manager of a bank travel centre
  • an Australian barrister, solicitor or patent attorney
  • an Australian credit union branch manager
  • an Australian commissioner for declarations
  • an Australian medical practitioner (doctor)
  • an Australian police officer in charge of a police station, or of the rank of sergeant and above
  • an Australian postal manager
  • an Australian pharmacist
  • an Australian principal of an Australian secondary college, high school or primary school.

Notarised Documents may be required for some students applying from China only.

You will be advised if we require notarised copies of any documents.

How to submit your documents

You can submit your documents through one of the following ways:
  • upload online via the application portal. Each file should be no more than 10MB.
  • deliver in person at Study@RMIT.
  • mail to: RMIT University, GPO Box 2476, Melbourne, VIC 3001, Australia. Please note that documents wont be returned.
  • digital academic statements/mark sheets can be submitted from accepted platforms or emailed from the issuing institution. Accepted platforms include: My eQuals (Australia and New Zealand), MyCreds and MesCertif (Canada) and Parchment (India, Ireland, Japan, Spain or UK).

If you have academic records from other countries and would like to provide digital academic statements including documents translated into English, you can have them verified independently through Digitary VIA.
